Abstract and Travel Grant Submission Guidelines |
|
These guidelines are limited to non-Japanese otorhinolaryngologists/researchers living outside of Japan who would like to submit abstracts.
Non-Japanese otorhinolaryngologists/researchers residing in Japan or who belong to a Japanese institution should submit their abstract on the Japanese site.
Current members of the Japanese Society of Otorhinolaryngology-Head and Neck Surgery should also submit their abstract on the Japanese site. |

Preparing Your Abstract Submission |

All abstracts and presentations must be written/ given in English.
Abstract title: 100 characters including spaces.
Abstract body: 1200 characters (approx. 200 words) including spaces.
Total Number of Characters *Including Authors, Affiliations, Abstract Title and Abstract Body: 2,000 characters including spaces
If the character limit is exceeded, submission will not be completed.
Do not include author's information such as affiliation and title in the abstract body area.
Please refrain from using platform-dependent characters.
Images (tables, graphs, figures, etc.) are not allowed to include in the abstract.
Abstracts should include the parts: a) Aim, b) Material and Methods, c) Results, d) Conclusions.
You may change or revise your abstract before deadline Noon December 12, 2024 (Japan Standard Time, UTC+9)

Travel Grant Application |
|
Travel grants will be available for First (submitting, presenting) Authors who have an accepted abstract for the 126th Annual Meeting of the Japanese Society of Otorhinolaryngology-Head and Neck Surgery. The program committee will review the applicants and select up to 50 excellent abstracts.

B. Travel grant application procedure
Please follow the steps below: |

Submit your abstract first from “ABSTRACT SUBMISION” at the end of this page. |
Step 2. |
In the submission form, choose “Yes, I apply for a Travel Grant” |
Step 3. |
Enter your birthdate. |
Step 4. |
Upload a scanned copy of your passport. |
C. To receive the grant
The grant will be handed to you at the Congress Secretariat headquarters in the Congress venue. When receiving the grant, we will ask you to present your passport to confirm your birthdate. If the birthdate is different from the application, the grant will be withdrawn. |

Notification of Acceptance |
|
Notification of registration confirmation will be sent to the registered e-mail address. If you do not receive a notification at the registered e-mail address within 1-2 days, please inform the Conference Secretariat. |
|
|
Conflict of Interest (COI) |
|
All presenters at the 126th Annual Meeting of the Japanese Society of Otorhinolaryngology-Head and Neck Surgery must disclose and report on any conflict of interest, or, alternatively, to state that they have no conflict of interest. Once your presentation is accepted, the category of conflict of interest is listed below and company names must be noted for disclosure in the slide or poster used in the presentation.

Reporting Conflict of Interest at your presentation.
Report on any potential conflict of interest with companies and yourself, your spouse or first degree of kinship regardless of whether it's concerned with the content of your presentation. In particular, the following cases should be noted and avoided. |

In the case the author is a board of director, an advisor or an employee of a company or a commercial institution. |

b. |
In the case when the author has made profit from stocks and stockholding. |
|
c. |
In the case when the author receives patent royalty from a company or a commercial institution. |
|

In the case when the author receives lecture fees, research fees from a company or a commercial institution. |

e. |
In the case when the author receives honorarium for manuscript fee on brochures from a company or a commercial institution. |

In the case when the author receives research funding or grant from a company or commercial institution. |

In the case when the author receives donations from a company or commercial institution. |

Disclosures in the abstract and slide
Abstract: Conflict of Interest (COI) will not be posted in the abstract book.
Slide and Poster: The first authors are requested to describe COI on their slide or at the bottom of the poster presentations. If the author does not have any conflict of interest to disclose, there will be a statement to the effect, "I have no actual or potential conflict of interest in relation to this presentation." on the sample slides. Personal Information Protection |
|
"Names" and "contact addresses" provided to us for Abstract Submission for the conference shall be used for the purpose of contact from the secretariat, notification of acceptance or rejection, and any information related to the presentation. In addition, the "presenters' names," "affiliation names," "title" and "abstract text" shall be used for publication in the program/proceedings and on the website, but not for other purposes.
